PT Evening Cleaners/Janitors - 

We are always looking for great people to join our growing company! If you are reliable, trustworthy, have an eye for detail and are available to work evenings to late night, these are great part time opportunities.  Hours are somewhat flexible to fit your needs.  Job duties include but are not limited to: vacuuming, dusting, mopping, restroom sanitizing and clean-up, inventory stocking, etc. Previous janitorial experience is preferred.  Must have reliable transportation. Paid travel time between sites.

Executive Assistant to the President/CEO

We are currently seeking an Executive Assistant to the President/CEO. This is a full time position Monday through Friday from 9:00am – 5:00PM.

Supports and assists the President/CEO along with other Executive Team Members as required with various administrative tasks and maintains confidentiality.

Schedule appointments and maintain calendar using Outlook.
Screen phone calls, preview mail, and monitor emails as directed.
Make travel arrangements (air, hotel, rental cars) and prepare reports as needed for President / CEO and/or other executives using internet and travel websites to obtain cost effective rates.
Handle registrations for industry and association events for President/CEO and/or other executives.
Assist with preparation of meeting agendas, take minutes/notes and distribute as needed.
Customer and staff relations.

Sales/Contract Support
Contract management, including but not limited to preparing job costs, create contracts and addendums, distribution, filing, and maintaining records for contract renewals.
Assist with Sales Management Software– i.e. answering questions in regard to usage, maintain database. Assist with formatting and sending advertisements and press releases.

Accounting Support
Preparing various accounting, cash flow, job costing and forecasting reports and provide assistance to Accounting and/or Controller as directed.

College degree preferred.
Previous administrative assistant experience with upper level management.
Must be proficient in Word, Excel, Outlook, and PowerPoint.
Must have a high level of interpersonal skills to handle sensitive and confidential situations.
Must be a self-starter, be able to multi-task, make decisions, and change priorities depending on the events of the day.

Administrator/Services Coordinator

We are currently seeking a full time Administrator/Services Coordinator.

The Administrator is responsible for reception coverage, office machines, telephones, office supplies; work ticket processing and coordination.  Provides support as required to the Human Resources Manager (HRM), Director of Operations (DOO), divisional operations managers, and other teams as directed.  Responsible for providing a broad variety of administrative and support services.

Performs broad and varied administrative duties to relieve supervisor of administrative details.  Coordinates logistics of assigned departments including winter services, maintenance, landscaping and operations where directed.  Collects information and reports on assigned activities in departments.

Corporate Office Reception
Schedule the reception area for coverage during office hours of 9am-5pm.  Ensure accurate after hours emergency phone numbers are programmed.
Perform a wide variety of administrative duties and staff support services for an assigned group and/or manager to relieve supervisor of administrative detail.
Answer telephone, directing calls appropriately.
Create and maintain spreadsheets for Client Alarm List, Employee Site and Phone List, etc.
Order office supplies.
Mail and FedEx shipping.
Prepare/copy forms, documents, handbooks, and ensure proper quantities on hand.
Backup Office Manager as needed.

Confidential and Complex Support Services
Operate as Central Dispatch for OneSource data system. Prepare, dispatch, coordinate, close and file Work Tickets.
Provide complex and highly confidential support services with minimal supervision.  Exercise judgment and discretion in the handling of client support, supervisor needs, and relieving the team of administrative detail.
Acquire and maintain an in-depth knowledge of MSNW departments in order to provide the most efficient and useful services to the Operations team.
Define and communicate resource needs for accepted bids.
Process a variety of timely, confidential and impactful support services to staff and clients.
Manage and enter Inspection Reports into tracking software (WinTeam).

Client Care
Convey highest level of professionalism, service and order satisfaction to clients and internal staff.
Primary first point of contact for clients.
Advise and facilitate process improvement to increase efficiency throughout the Operations Departments.
Identify opportunities for development in the care of clients and report observations on improvement to supervisor.

Coordinated Billing Functions and Bid Assistance
Assist with the bidding process, reporting of activities process, and accounting close process.
Ensure the job project-pipeline is accurate and updated weekly.
Perform periodic wellness check-in on how the pipeline is working for each manager.

Bachelor’s Degree or Associates Degree with 2 or more years of administrative job experience.
Comfortable in a fast-paced, changing environment. Ability to work independently and with good judgment
Excellent team-oriented communication skills in cross-functional partnership with sales, marketing and operations teams required.
Outstanding verbal, written, and customer service skills.
Computer literacy and proficiency with office productivity applications, such as Microsoft Word, Excel and PowerPoint.
Energetic self-starter with excellent organizational and time management skills.
Ability to build rapport with co-workers and clients.
Effective problem solving skills.
Perform and demand excellent quality in work.
